Reception & Administration Assistant

Due to a staff retirement, the Diocesan Centre in Brecon is looking for an enthusiastic and experienced Reception & Administration Assistant, providing a professional and efficient reception and administrative service across the diocese.

About the role

The Diocesan Centre in Brecon is the primary office of the Swansea & Brecon Diocesan Board of Finance, providing administrative support for the diocese and acting as a central point of contact for clergy, ministry areas and the public. You'll join the administration team as receptionist, while also taking on a varied range of administrative duties supporting diocesan departments, officers, clergy, and our churches and ministry areas.

Key responsibilities

  • Provide reception services as part of the Diocesan Centre administration team — visitor management, a welcoming environment, and handling enquiries by email and telephone.
  • Manage email and postal communications, including bulk mailings and distributions.
  • Calendar management for remote and in-person diocesan meetings, including scheduling, circulation of meeting information, and room bookings.
  • Administer key control and asset register procedures, and maintain office supplies, stock control and invoicing.
  • Provide photocopying services for budget holders and external customers.
  • Maintain and update database information in line with data protection legislation.
  • Provide procurement services for the team.
  • Maintain the Diocesan Centre services invoice and recharge database, preparing and distributing quarterly invoices.
  • Take minutes, through meeting attendance or transcription of digital recordings.
  • Maintain diocesan archive and filing systems, both hard copy and electronic.
  • Assist the Office Manager with Health and Safety matters, including routine building checks.
  • Provide administrative support for the Diocesan Secretary and other officers, including confidential work.

What We're Looking For

We're looking for a confident communicator with an exceptional telephone manner, strong organisational skills, and an eye for detail — someone who can work on their own initiative while keeping complete confidentiality.

Essential

  • Minimum of 5 GCSEs (or equivalent) including Mathematics and English.
  • Experience in a reception or front-of-house role.
  • Knowledge and experience of administrative procedures.
  • Experience handling telephone systems, and postal and email communications.
  • Excellent computer skills, including MS Office (Excel, Word, Outlook).
  • Knowledge of data protection legislation.
  • Familiarity with bookings systems and preparing facilities for meetings.
  • Understanding of stock control, asset management and deliveries.
  • Experience of drafting letters and minute taking.
  • A confident communicator, orally and in writing, with an exceptional telephone manner.
  • Excellent organisational skills; able to work on own initiative and prioritise workload.
  • A strong customer focus and eye for detail.
  • Ability to maintain complete confidentiality.
  • An empathy with the Christian ethos of the organisation.

Desirable

  • A recognised administrative qualification.
  • Formal qualifications in typing or word processing.
  • At least 2 years' experience in a welcoming or administrative role.
  • Experience of cloud-based document management software.
  • Experience working with a database, both inputting and extracting information.
  • Experience with office photocopying equipment.
  • Experience working for a charity organisation.
  • Ability to speak Welsh.
