Cwmtawe Ministry Area, serving communities in the Swansea Valley from Ynystawe to Glyntawe, is looking for an administrator to support its churches with compliance, communication and day-to-day admin.

About the role

The churches of the Swansea & Brecon Diocese are organised into 14 Ministry Areas, each sharing gifts and skills across its churches to manage assets and co-ordinate activities. Supporting these Ministry Areas is a network of Administrators, employed centrally as part of the diocesan finance and administration team but based locally within their communities.

Cwmtawe Ministry Area serves communities in the Swansea Valley, from Ynystawe to Glyntawe. Previous experience and involvement within the community of the Ministry Area will be beneficial, and applicants should provide details within their application form.

Tasks and responsibilities vary between Ministry Areas depending on local needs and current volunteer support. You won't be expected to take on every task below — specific responsibilities will be agreed with the Ministry Area team at the time of appointment.

General administration

  • Act as the central point of contact for the Ministry Area, handling enquiries by post, phone and email.
  • Diary management and meeting arrangements for the Ministry Area.
  • Administrative support for clergy on baptisms, funerals and weddings — enquiries, bookings, registers, certificates and payments.
  • Support meetings of the Ministry Area Council and Executive, including agendas, papers, minutes and tracking actions.
  • Develop and manage paper and digital filing in line with data protection legislation.
  • Order supplies for church ministry and office use.

Governance, process & reporting

  • Share good practice with other Ministry Area Administrators.
  • Manage statutory documentation, including registers, certificates and applications.
  • Submit Annual Reports and returns to the Charities Commission and the Church in Wales.
  • Support the Annual Vestry Meeting and the appointment of Officers and Council members.
  • Assist the Safeguarding Officer with the safeguarding database, DBS applications and ID verification.

Finance & building management

  • Manage petty cash and support data entry to MyFundAccounting, as agreed with the Treasurer.
  • Assist with maintenance of office and church building equipment, and oversee the cleaning contract.
  • Manage lettings of the building, including contracts and fees.
  • Administer key control and asset register procedures.

Communication

  • Update and develop the Ministry Area website and social media accounts.
  • Produce and distribute digital and paper publications on behalf of the Ministry Area.
  • Keep noticeboards tidy and up to date, and maintain two-way communication with the Diocesan Office.

What We're Looking For

We're looking for a confident communicator with strong organisational skills who can prioritise their own workload, maintain complete confidentiality, and bring an understanding of the Christian ethos of the organisation.

Essential

  • Minimum of 5 GCSEs (or equivalent) including Mathematics and English.
  • Experience working in an administrative role.
  • Knowledge and experience of administrative procedures.
  • Experience handling telephone, postal and email communications.
  • Excellent computer skills, including MS Office and social media.
  • Knowledge of data protection legislation.
  • Experience of drafting letters and minute taking.
  • A confident communicator, orally and in writing, with an exceptional telephone manner.
  • Excellent organisational skills; able to work on own initiative and prioritise workload.
  • Ability to maintain complete confidentiality.
  • An empathy with the Christian ethos of the organisation.

Desirable

  • A recognised administrative qualification.
  • At least 2 years' experience in an administrative role.
  • Experience working with a database, both inputting and extracting information.
  • Familiarity with bookings systems and meeting preparation.
  • Experience of stock ordering and working with volunteers.
  • Experience working for a charity organisation.
  • Ability to communicate in Welsh.
